A food order refund policy answers four questions before anyone is upset: when a customer can cancel, how much comes back, how it comes back, and how long it takes. Most small restaurants have one in their head and none on paper, so every refund becomes a negotiation at 9pm. The templates below give you a food order refund policy you can paste onto your store page and into your WhatsApp order confirmation, the message wording for each refund situation, and the parts that can run on their own once the rules are set.
What the policy has to decide
The principle behind every fair rule is the same: the refund tracks what you have already committed. Before cooking starts, nothing is lost and the refund is full. After cooking, the ingredients and labour are gone, and the refund shrinks or becomes credit. When the fault is yours, the refund is full regardless of stage.
| Situation | Fair default | Form |
|---|---|---|
| Customer cancels before the order is accepted | Full refund | Original payment method |
| Customer cancels after cooking has started | No refund on standard orders; credit at your discretion for regulars | Coupon for a future order, if offered |
| Customer cancels a pre-order or custom order before the cut-off | Full refund of any advance | Original payment method |
| Customer cancels a pre-order or custom order after the cut-off | Advance is kept; balance not charged | Credit for ingredients not yet used, if any |
| You cancel (item unavailable, outside zone, kitchen closed) | Full refund, fast, with an apology | Original payment method, same day |
| Wrong or missing item | Redeliver the item if the rider can, otherwise refund that item | Original method or credit, customer's choice |
| Quality complaint (cold, spoilt, foreign object) | Refund the affected item; full refund if the whole order is unusable | Original payment method |
| Late delivery beyond your promised window | Delivery charge refunded; a small credit if very late | Credit |
| Payment debited but order shows unpaid | Bank reversal; do not take a second payment until confirmed | Automatic reversal by the bank |
Credit instead of cash is the most useful tool here. A ₹150 coupon on the next order costs you the food on that order, keeps the customer, and is far more likely to be accepted gracefully than "no refund". The coupon codes post covers how to issue them without the codes being passed around.

Cancellations and refunds
1. You can cancel an order free of charge until we accept it, usually within two minutes of placing it. Reply CANCEL on WhatsApp or call [number].
2. Once the kitchen has started your order, it cannot be cancelled, because the food has been made for you. We may offer credit on a future order at our discretion.
3. Pre-orders and custom orders (cakes, catering, bulk) can be cancelled for a full refund of any advance until [48 hours] before the delivery or pickup time. After that, the advance covers ingredients already bought and is not refundable.
4. If we cancel your order for any reason, you receive a full refund the same day.
5. If an item is wrong, missing or not up to standard, message us on WhatsApp within [one hour] of delivery with a photo. We will redeliver the item, refund it, or give you credit, whichever you prefer.
6. Refunds to UPI or card go back to the original payment method and take [3 to 7] working days to appear, depending on your bank. Refunds for cash-on-delivery orders are sent to your UPI ID within one working day.
7. If your payment was debited but your order shows as unpaid, the bank reverses the amount automatically within a few working days. Please do not pay again; message us and we will confirm.
If you collect advances, the cake and catering wording in the advance payment guide matches clause 3 and belongs in the quote message as well.
The short version for confirmations and bills
The order confirmation carries two lines, and the bill carries one.
Cancel free until we accept (about 2 minutes). After that the order is cooked for you and cannot be cancelled. Problems with your order? Message us within an hour of delivery.
Refunds: full policy at [store link]/refunds.
Refund message templates
Each one states the decision, the amount, the method and the timeline, without "unfortunately".
Cancellation accepted
Your order #[number] is cancelled. ₹[amount] will go back to your [UPI/card] within 3 to 7 working days.
Late cancellation declined, credit offered
The kitchen had already made your order when the cancellation came in, so we cannot refund it this time. We have added a ₹[amount] credit to your number for your next order with us; it applies automatically at checkout.
Wrong or missing item
Sorry about the missing [item]. Our rider can bring it in about [20] minutes, or we can refund ₹[amount] to your [UPI/card]. Reply 1 for redelivery or 2 for the refund.
Quality complaint
Thank you for the photo and sorry this reached you like that. We are refunding ₹[amount] for the [item] to your [UPI/card] today; it will show within 3 to 7 working days.
Late delivery
Your order took longer than we promised. The ₹[delivery charge] delivery fee is refunded, and a ₹[amount] credit is on your number for next time.
Refund processed
Refund of ₹[amount] for order #[number] has been issued (reference [ref]). Your bank should show it within 3 to 7 working days; message us if it has not arrived by [date].
For the conversation that comes before any of these, the complaint-handling scripts cover the first reply, the photo request and the tone when a customer is angry.
What to automate once the rules are set
Five pieces can run on their own, so staff never decide on the spot.
- The cancellation window. Tie it to order status. Before "accepted", a customer's CANCEL reply cancels the order and triggers the refund; after "preparing", it gets the credit message instead.
- Gateway refunds. For UPI and card orders, the refund is issued from the payment gateway dashboard in two clicks, back to the original method, with a reference number you can paste into the message. The customer's bank controls the timeline, which is why the policy says 3 to 7 working days rather than promising a date. Payments taken through a gateway checkout or link are the easy case; the UPI payments guide explains why a payment to a static QR has to be refunded by hand.
- Credit as a coupon. A coupon code tied to the customer's phone number, applied automatically on their next order, is credit with no spreadsheet.
- Status messages. A large share of refund requests are "where is my order" in disguise. Automatic accepted, out for delivery and delivered messages remove the uncertainty that turns into a demand for money back.
- A log. Every refund with order number, reason and amount. Monthly, sort by reason: missing items point at packing, late deliveries at riders, quality at one dish.
Ordering platforms carry most of this. On Tezzu, order statuses drive the customer's WhatsApp updates, coupons can be set to apply automatically at checkout so credit needs no code to remember, online refunds go back through the Razorpay payment, and a rating request after delivery surfaces problems before they become refund demands; the reviews post covers that last part.

Can a restaurant refuse a refund for a food order?
Yes, where the policy was shown before the customer paid and the refusal matches it, such as a cancellation after cooking has started. Refusing when the fault is yours, such as a wrong item or spoilt food, is a different matter and invites complaints and chargebacks. Keep the policy visible on the store page and in the confirmation message, and offer credit where you refuse cash; it costs little and keeps the customer.
How long does a food order refund take?
A refund issued through a payment gateway to UPI or a card usually appears in the customer's account within 3 to 7 working days, depending on their bank; the gateway processes it immediately, the bank controls the rest. Refunds for cash-on-delivery orders are sent manually to the customer's UPI ID and can be done the same day. Tell the customer the timeline and the reference number when you issue it.
Should I refund or redeliver a wrong item?
Offer both and let the customer choose. If a rider can bring the missing item within twenty or thirty minutes, most customers prefer that, especially if the rest of the meal is on the table. If the delay would be longer, refund the item to the original payment method or as credit. Never make the customer argue for one or the other; the decision should take one reply.
What is a fair cancellation policy for food orders?
Free cancellation until the order is accepted, no cancellation once cooking starts, and a cut-off for pre-orders and custom work tied to when you buy ingredients, usually 24 to 48 hours before. Add a full, same-day refund whenever you are the one cancelling. State it in the confirmation message so the customer sees it before the kitchen starts, and apply it the same way for everyone.
