Christmas Cake Pre-Orders: Plan, Promote and Deliver

A Christmas cake pre order list is the most useful thing a bakery can build in November. Plum cake is the rare product where the customer is happy to order weeks ahead, the ingredients need soaking anyway, and the oven is the bottleneck in the final week. Pre-orders turn that bottleneck into a bake schedule you can plan.

This guide is for home bakers, cafes and small bakeries that sell plum cake, rich fruit cake, cookies and hampers in December. It covers the calendar from fruit soaking to Christmas Eve pickup, how to price the range, how to promote it without ads, how to take orders and payment on WhatsApp, and how to deliver or ship without a single broken cake.

Why plum cake runs on pre-orders

Three things make Christmas different from a birthday cake business. The fruit for a proper plum cake soaks for weeks, so the quantity you can make is decided in November. Rich fruit cakes keep well, which means you can bake in batches across two weeks rather than in a panic on the 23rd. And demand is concentrated into the ten days before Christmas, when every oven in the city is full.

Without pre-orders you guess the volume, over-soak fruit you will not use or run out on the 22nd, and spend Christmas Eve turning people away. With pre-orders and a cut-off date, every kilo of fruit has a buyer before it goes into the rum. The general case for this is in the pre-order system guide for bakeries; Christmas is where it pays off most.

Plan: the Christmas bakery calendar

Work backwards from the 25th and put the dates on the kitchen wall.

  • Early November: soak the fruit for the estimated volume. Base the estimate on last year's orders plus whatever growth your list has seen, not on hope.
  • Mid November: finalise the menu, bake one of each item, photograph them, set prices.
  • 1 December: open pre-orders on your store page and announce on WhatsApp and Instagram. Send hamper quotes to offices.
  • 10 December: cut-off for corporate hampers and out-of-city shipping.
  • 18 to 20 December: cut-off for custom and large cakes. Start the main bake.
  • 22 December: cut-off for standard plum cakes and cookie boxes.
  • 23 and 24 December: pickup slots and delivery runs. New orders only from whatever extra stock you deliberately baked.

The cut-offs are the whole system. Publish them on the store page and in every message, and hold to them. A customer who misses the date can buy from the small extra batch, at full price, on a first-come basis.

If you also run New Year promotions, the New Year restaurant promotions guide picks up where this calendar ends, and the 52-week campaign calendar shows the whole December in one place.

Build and price the Christmas range

A short menu sells better than a long one, because the customer is choosing a gift and wants the decision made easy. Five or six items is plenty.

ItemTypical sizesPrice rangeNotes
Classic plum cake500g, 1kg₹450 to ₹1,200Your volume seller; keep an alcohol-free version
Rich fruit cake, soaked for weeks500g, 1kg₹700 to ₹1,800Premium gift; keeps for weeks when wrapped
Cookie or gingerbread box12 or 24 pieces₹350 to ₹800Easy to ship, good for bulk
Yule log or custom cake500g to 2kg₹800 upwardNeeds the earliest cut-off and a photo reference
HamperCake plus cookies plus a jar₹1,500 to ₹3,000Corporate and family gifting; price as a bundle

Cost each item honestly: dry fruit, butter, alcohol, flour, packaging, oven time and your hours. Dry fruit prices move every year, so re-cost in November rather than copying last year's menu. A 1kg plum cake with ₹420 of ingredients and ₹60 of packaging priced at ₹1,000 leaves room for a hamper discount and the occasional free delivery. The home bakery pricing guide has the full method.

Promote: Christmas bakery marketing that fills the list

You do not need paid ads for this. You need the people who already know your cakes to hear about pre-orders early, and the people they gift to in turn.

  • Tell last year's buyers first. A message on 1 December to everyone who ordered last Christmas, with the link and the cut-off dates. They are the most likely to order and the most likely to order more than one.
  • Show the process. Fruit soaking, the first bake, the cakes being wrapped. WhatsApp Status and Instagram stories through November build anticipation without a single offer.
  • Offer tasting slices. A free slice with every November order, or at a weekend stall, converts curious customers into pre-orders on the spot.
  • Corporate hampers. One message with a hamper price list to every office contact. They buy in tens and decide by the second week of December.
  • Early-bird pricing. ₹100 off orders placed before 10 December. It pulls volume into the days when the oven is free.
  • Referral by gifting. Every cake carries a card with your WhatsApp number and store link. The person who receives the cake is next year's customer.

Take Christmas cake pre-orders on WhatsApp

The order should be complete without a phone call, because December phone calls arrive while your hands are in dough.

  1. Send one link. Your store page lists every item with photo, size, price and the cut-off date. Share it on WhatsApp, Status, Instagram bio and a QR code on the counter.
  2. Let the customer pick a date. Pre-orders with a chosen pickup or delivery date tell you exactly what to bake on which day.
  3. Collect the details. Alcohol or alcohol-free, a message for the card, a recipient name and address if it is a gift.
  4. Take payment in advance. UPI or card at checkout, full amount for standard items and at least 50 percent for custom cakes. An order is confirmed when it is paid.
  5. Confirm with the date. The confirmation message repeats the pickup or delivery date and the cut-off for changes.

The step-by-step for custom cakes, advance payment and pickup through the year is in the guide to taking cake orders on WhatsApp.

Deliver: pickup slots, local delivery and shipping

Pickup should be your default. Set collection slots on the 23rd and 24th, two hours each, and cap the number of orders per slot so nobody waits. A cake carried home by the customer is a cake that arrives upright.

For local delivery, box every cake in a rigid box with a non-slip base, and deliver by area in the morning before roads fill. Charge a delivery fee that covers the rider; waive it above a minimum order if you want to push hampers.

Plum cake and cookies are shelf-stable enough to ship by courier within India, which opens up every customer who wants to send a cake to parents in another city. Wrap the cake in cling film and then paper, use a snug inner box with filler in the outer box, and close shipping orders by 10 December. Cream cakes and yule logs do not travel; say so on the menu.

Frequently asked questions

When should a bakery open Christmas cake pre-orders?

Around 1 December, with the fruit already soaking since early November. Corporate hampers and shipping orders should close about two weeks before Christmas, custom cakes about a week before, and standard plum cakes two or three days before, leaving the 23rd and 24th for pickup and delivery.

How far in advance should plum cake be made?

Rich fruit cakes improve with age and can be baked two to three weeks ahead if wrapped well and stored cool. Lighter plum cakes are best within a week. This is why pre-orders matter: knowing the volume early lets you bake in batches rather than all at once in the final days.

How do I take advance payment for Christmas cake orders?

List the cakes on an online store page with UPI and card payment at checkout, or send a payment link on WhatsApp. Take the full amount on standard items and at least 50 percent on custom cakes and hampers. Treat an order as confirmed only once it is paid, which prevents no-shows on the busiest days.

Can plum cake be shipped by courier?

Yes. Plum cake, rich fruit cake and cookies are shelf-stable enough for courier delivery within India when wrapped in cling film and packed in a snug inner box with filler. Cream-based cakes and yule logs should be local pickup or delivery only. Close shipping orders at least two weeks before Christmas.
